Networking Meals:

  • With an “All-Access” registration, you receive one breakfast voucher and one lunch voucher for each night you have a reservation at Bellagio Las Vegas (up to three nights.)
  • With an “Exhibit-Hall-Only” registration, you receive one voucher for each night you have a reservation at Bellagio Las Vegas (up to three nights.)

Vouchers are good only for AFSA networking meals and cannot be used at hotel restaurants.  Vouchers cannot be redeemed for cash value.

    Enjoy food and drinks with AFSA board members before the rush of contractors enter the exhibit hall floor.

Trade Show Open – Chairman’s Reception

    Registered attendees enjoy food and drinks as they move throughout the exhibit hall floor to visit your booth and learn about your products, services and/or new technology.

Awards Party

  • Wednesday, Sept. 27: 6:30 PM – 9:30 PM
    Join us as we crown the Apprentice Competition champion with a party for the ages.  The ‘Rat Pack’ theme will feature music by Frank Sinatra, Dean Martin, Sammy Davis Jr., and Marilyn Monroe.  The era of their greatest tabloid fame coincided with the “Mad Men” ’50s into the ’60s when, in retrospect, things seemed simpler and a particular kind of jet-set culture was captured in their antics.  A night of fun that includes dinner, drinks, and live entertainment will cap off the convention.

  • Chairs, tables & carpet are not included in the booth price.  The exhibit hall is carpeted.  You have the option to purchase carpet to compliment your booth design.  All amenities can be ordered through AFSA’s official service contractor, VIPER Tradeshow Services.

Booth Assignments:

Booth Reservations Postmarked:

  • ON OR BEFORE 4/21/17 :  Booth Assignments will be made on a priority basis according to AFSA’s point system.
  • AFTER 4/21/17:  Booths will be assigned on a first-come first served basis.

Cancellation Policy:

Amounts are based on total cost of booth space reserved.  Upon written notice of cancellation, the total amount of booth will be refunded less a cancellation fee based on the following schedule:

  • BEFORE 5/19/17:  $250 per booth will be deducted from the refund
  • 5/18/17 – 7/14/17:   $400 per booth will be deducted from the refund
  • AFTER 7/14/17:      No refunds

Policies

Reselling Booth Space

The reselling of booth space by an exhibitor of sharing booth space with other companies is prohibited.


Hospitality Suite and Organized Events

In keeping with AFSA’s policy on hospitality suites and organized events at AFSA36, as recommended by the Manufacturer/Supplier Council, we are asking all exhibiting companies to read and comply with this policy.  This policy has been established in order to put all exhibitors on an equal footing with regard to visiting with registered participants.  The policy was recommended by the AFSA Manufacturer/Supplier Council and approved by the Board of Directors.  The policy for use of hospitality suites and organized events is stated as follows:

“AFSA members, exhibitors and registered guests are not permitted to organize or sponsor hospitality suites, seminars, parties or other organized functions during the official convention dates (defined as 9/24/17 through the closing evening event on 9/27/17).  There are no exceptions.  Violators will be assessed a permanent penalty of 50 percent of their accumulated exhibitor points for booth assignment and priority for all future years.  Violators with no points to lose will not be permitted to exhibit in the following year.”


Booth Display

AFSA does not permit a tabletop display.  Exhibitors may choose to display a full exhibit or a fold out display.  A/V equipment is available for rental through the hotel.  Order forms will be found in the service kit sent from Viper Tradeshow Services.


Contests and Drawings

No company will be permitted to organize contests or drawings in their booth giving away prizes during the official convention dates.  Companies will be permitted to give away items in their booth as long as the items are not given away as prizes from contest drawings.


Machinery Demonstrations

The Manufacturer/Supplier Council of AFSA has established a policy regarding machinery demonstrations during AFSA exhibit show hours, based on safety standards determined by the Occupational Safety and Health Administration (OSHA). According to OSHA, sound levels greater than 85 decibels require a hearing conservation program be in place. Any company choosing to demonstrate machinery during show hours with a decibel level greater than 85 as considered by OSHA to be over the safety level will be required to select a booth in the designated area. For the 2017 AFSA show, the designated “demonstration” area is located in the exhibit hall in the 700 aisle. Companies demonstrating over 85 decibels must provide safety standard ear plugs to attendees. Any company with a booth located in an area other than the demonstration area of the exhibit hall demonstrating machinery with a decibel level greater than 85 during show hours will be required to discontinue further demonstrations for the remainder of the show. The booth selection process will follow the order as defined by the point system.


Advertising & Handouts

Only AFSA representatives and registered exhibitors will be permitted to distribute advertising materials or other handouts in the exhibit hall of AFSA’s annual convention and exhibition. Materials deemed to be offensive will not be permitted. In addition, AFSA prohibits distribution of commercial, political, or promotional materials in or around any AFSA program – including but not limited to networking meals, seminars, meeting rooms, hallways, etc. – without the prior written permission of AFSA.


Admission

AFSA’s convention and fire sprinkler exhibits are open to registered members and guests. The open exhibit day – Wednesday, September 27 – is open to all registered attendees, exhibitors, and the invited guests of AFSA, its exhibitors and its local members. AFSA reserves the right to refuse admittance to anyone to any event, programs, and exhibits.


Booth Personnel

All exhibitors are prohibited from selling booth space and/or sharing booth space with other companies. Company representatives may exhibit with an exhibiting company provided they are there solely to sell products or services of the exhibiting company.


Exhibitor Points

Exhibitor points referred to in the above statement are those that each company earns each year based on continued membership and cumulative booth purchases. The point system is administered as follows:

Exhibitor companies select their booth position in the AFSA Exhibit Hall in order determined by the number of points acquired. The company with the most points will be able to select first, provided the application form and payment are submitted by the deadline date. The company with the second highest number of points will have second choice, etc. Those companies submitting the application form after the deadline date will select a booth on a first-come first-served basis regardless of the number of points acquired. The number of points each company has is based on the following:

  • 1 point for each consecutive year of membership in AFSA. (Any company that allows its membership status to lapse for any length of time will lose all points previously acquired.)
  • 1 point for each booth every year that the company has exhibited.

Booth Space & Registrations (Members Only)

Platinum sponsors receive a 10′ x 20′ booth, which includes 2 all access registrations and 4 exhibit hall only registrations ($4,800 value). Gold sponsors receive a 10′ x 10′ booth, which includes 1 all access registration and 2 exhibit hall only registrations ($2,400 value). To expand the size of your booth, indicate the number of additional booths when purchasing.

Your company name will be listed on the convention app. This listing will be linked back to your company webpage. The convention app is made available to all convention registrants (approximately 1,500+).


Name or Logo on Entry Banner

Registrants passing through the entrance to the exhibit hall will see your company name displayed on one of the exhibit hall entry panels. As a Platinum or Gold level sponsor, you receive even more exposure to include your company logo displayed on the exhibit hall panels, an added branding opportunity.


Name or Logo on Signage

Your company name will be displayed on the registration area panels. All registrants visit the registration desk to pick up their welcome packet (approximately 1,500+). As a Platinum or Gold level sponsor, you receive even more exposure to include your logo displayed on the area panels, another added branding opportunity.


Logo on Apprentice Competition Shirts & Sign

Platinum, Gold, and Silver sponsors will get your logo screen printed on the shirts the seven apprentice finalists wear during the three-hour apprentice competition. As a Platinum or Gold level sponsor, you also get your logo displayed on the competition sign displayed near the competition area. This is a great opportunity to show support for competitors.


Name or Logo on General Session Presentation Slide

Your company name will be prominently displayed in recognition as a sponsor at the general session in a presentation slide. As a Platinum, Gold, or Silver level sponsor your logo is displayed as attendees are seated prior to the start of the general session.


Networking Meal Table – 3 Days

As a Platinum, Gold, or Silver level sponsor, your logo and booth number will be displayed during breakfast and lunch at a networking meal table(s) for three days. Platinum sponsors receive five tables per day, Gold sponsors receive two tables per day, and Silver sponsors receive one table per day. The networking meal events have become very popular over the years and is yet another great opportunity to brand your logo and drive attendees to your booth. You may provide promotional items on your table display. This table display will be available for purchase a la carte ($1,200 value/per table).

Your company name will be listed on the AFSA convention website. This listing will be linked back to your company webpage. As a Platinum, Gold, or Silver level sponsor your logo is displayed. The convention website is made available to all AFSA members and prospects.

Your company name will be recognized as a sponsor in Sprinkler Age magazine. This is circulated to over 4,500+ fire sprinkler industry professionals.

Your company name will be recognized as a sponsor in the convention program. (approximately 1,500+).


Pre-Convention Brochure Ad

As a Platinum or Gold sponsor, you get an ad placed in the pre-convention brochure. This will be in print and digital versions distributed to all AFSA member companies and prospects (approximately 1,000+). The Platinum sponsors receive an 8.5 x 11 full-page ad ($2,000 value).   Gold sponsors receive a 7.25” x 4.875” half-page ad ($1,500 value).


At-Convention Program Ad

Platinum or Gold level sponsors get an ad placed in the at-convention program. This will be distributed to all AFSA convention attendees (approximately 1,200+). Platinum sponsors receive a 5.5 x 8.5 full-page ad ($1,000 value).  Gold sponsors receive a 5” x 3.75” half-page ad ($750 value).

AFSA will recognize our Platinum and Gold sponsors on social media. Recognition will be posted on social media to 15,000+ followers.


App (Rotating Banner) Ad

Platinum sponsors get a banner ad in the convention app. As attendees login to check the convention schedule, they will see your banner ad displayed. This ad is displayed on a rotating basis. This rotating banner ad is also available for purchase a la carte. ($1,000 value)


Welcome Packet Insert Ad

Platinum sponsors are allowed one advertising page in each registration packet, which is distributed to all convention attendees. Printed material may be no larger than 8.5” x 11” and must be a single sheet. All items are subject to AFSA approval. Printed advertising material distribution is non-commissionable. This welcome packet ad will be available for purchase a la carte. ($750 value)


Pre-Event Email

As a Platinum sponsor, AFSA will send an email prior to the convention focusing the attention on just your company and presence at the AFSA convention. This email will be distributed to convention registrants. This pre-event email will be available for purchase a la carte. ($2,500 value)


Sponsor Spotlight on Website

As a Platinum sponsor, AFSA will place your “Spotlight” Ad on the AFSA convention website. This is another opportunity to put the focus directly on your company on the AFSA convention page.


Logo on Convention Ads

As a Platinum sponsor, AFSA will place your logo on advertisements about the convention in Sprinkler Age magazine. AFSA promotes the convention in each issue leading up to the convention. Your logo will become part of that advertisement which puts focus on your presence as an exhibitor.

Platinum level sponsor logos will be displayed on lighted GOBO leading to the AFSA convention area.


Pre-Event Promo Video Recognition

As a Platinum sponsor, your logo will be displayed on the convention promotional video. This video trailer is played in front of webinar audiences and chapter meetings. It is also available on the convention website and Youtube.
